How to verify a listing with the Forms Live + APLYiD integration

How to connect Forms Live to APLYiD and trigger a vendor verification case from a property form.

The Forms Live integration lets you trigger an APLYiD verification case directly from a property form in Forms Live, rather than logging into APLYiD separately to start one.

This guide walks through connecting the two platforms and creating a case.

Note: the integration currently only supports the vendor (seller) side of a transaction — there's no buyer support, and no automatic status update is sent back to Forms Live once you finish a verification in APLYiD.

Connecting Forms Live to APLYiD

ℹ️ This is a one-time, agency-level connection. Only an APLYiD admin can complete it. Once the principal user of the Forms Live account connects using the API key below, the integration becomes active for every user in that agency — not just the person who set it up.

  1. In Forms Live, go to Connections in the left-hand menu. (in Forms Live)

  2. Click Connect in the row labelled APLYiD. (in Forms Live)

  3. Go to the APLYiD dashboard (workflow.aplyid.com/login) and log in. (in APLYiD)

  4. Go to Settings, then Developers. (in APLYiD)

  5. Enter the Forms Live webhook URL for your state:

  6. Click Save webhook URL. APLYiD displays an API key — copy it and store it somewhere secure, you'll need it in the next step.

  7. Back in Forms Live, paste the API key into the field labelled Username, tick Allow User Access, and click Connect.

⚠️ The field is labelled Username in the Forms Live UI, but it takes your APLYiD API key — not a login name or email address. Entering an email address here by mistake is a common error, and causes a failure the next time someone tries to create a case from a form. If a client contacts you confused about this field, this is almost always the cause.

How a case gets created

  1. A Forms Live user opens a supported form — currently the exclusive sale/listing authority style form (named differently in each state).

  2. Vendor details already entered on the form (name and email) prefill into the case Forms Live sends to APLYiD.

  3. The user is deep-linked into the APLYiD dashboard to progress the verification — run the identity check, complete the risk assessment, and review the result, the same as any other case.

ℹ️ The form only supports loading a single vendor at a time. If the listing has a second seller — for example, joint owners, this currently has to be done manually inside APLYiD once the case exists. Forms Live doesn't currently support submitting a buyer, either when the case is created or afterwards.

Frequently asked questions

Q: Can I add a second seller or joint owner through Forms Live?

A: Not through the integration. Only one seller can be submitted per case via the API. Add the second seller manually inside APLYiD once the case exists.

Q: Can I add a buyer through Forms Live?

A: No. The API doesn't currently accept a buyer, either when a case is created or as an update afterwards. Add and verify the buyer directly in APLYiD — entering their details takes about 1–2 minutes.

Q: If I edit the vendor's details in APLYiD, does Forms Live update automatically?

A: No. There's no automatic sync back to Forms Live once a case is created. If your workflow needs a completion record in Forms Live, update it there manually once you've finished the verification in APLYiD.

Q: I'm progressing the same property from a listing authority to a contract of sale — does it stay the same case?

A: No. A case can't span multiple forms. Creating a case from a second form on the same property starts a new, unlinked case in APLYiD.

Q: I pasted my email into the Username field and got an error creating a case — what happened?

A: The Username field takes your APLYiD API key, not a login name or email address. Go to Settings > Developers in the APLYiD dashboard to find your key, then re-enter it in Forms Live.

Q: Does the integration check that the vendor is the actual owner of the property?

A: No. APLYiD verifies the identity of whoever is named as the vendor on the form, but neither Forms Live nor the integration checks that this person is the correct authorised party on the property title. Confirming you've verified the right party is part of your own AML process, the same as any case you create directly in APLYiD.
