Invite team members to APLYiD Workflow from Team Settings by entering their email address, assign a role, and they'll receive an invitation link to create their account.
Who can invite team members?
Admins can invite, manage, and remove team members. If you don't see the Team Settings option, contact your account Admin.
User roles
Workflow has three roles. Choose the right role before sending the invitation — it determines both what the user can do and what data they can see.
Admin — Full access to all cases, clients, settings, billing and team management. Admins can view all cases across the team, regardless of which agent created them. Assign this to principals, compliance officers, or office managers.
AML Supervisor — Full visibility of all cases and clients across the team for management and compliance oversight. Cannot access billing or team settings. Assign this to compliance managers or supervisors who need oversight without admin privileges.
Agent — Can create and manage cases and clients. Agents can only see cases and guided flows they have created — they cannot view cases created by other agents. Agents can view all client records in the account. Cannot access team settings, account-level configuration or billing. Assign this to sales agents, solicitors, or conveyancers.

Note: all roles can view all client records. Only case and guided flow visibility is restricted by role. This means agents can still search for and reuse existing clients created by other team members, reducing duplicate entries and avoiding unnecessary charges.
How to invite a team member
Click Settings in the left-hand navigation menu.
Click Team. The team members list appears.
Click Invite Team Member. An invitation form slides in.
Enter the person's First Name, Last Name, and Email Address.
Select their role — Admin, Agent, or AML Supervisor — from the Role dropdown.
Click Send Invitation. The person receives an email with a link to create their account.
What the invited person sees
Your team member receives an email inviting them to APLYiD. They click Accept Invitation, set a password, and land on the Workflow dashboard. Their account is immediately active. It is completely free to add users and you can have an unlimited number of team members.
Managing pending invitations
If a team member hasn't accepted their invitation, their status shows as Pending in the team list.
Changing a user's role
Click Settings, then Team.
Find the team member you want to update.
Click the three-dot menu (⋯) next to their name.
Click Change Role.
Select the new role from the dropdown.
Click Save. The change takes effect immediately.
Removing a team member
Click Settings, then Team.
Find the team member you want to remove.
Click the three-dot menu (⋯) next to their name.
Click Suspend User.
Confirm by clicking Suspend User in the confirmation dialogue. The user's access is revoked immediately.
The user will remain in the list for auditing purposes and their cases and client records are retained. Suspending a user does not delete any cases or client records they created — those records remain in your account and can be managed by Admins.
Seats, billing and audits
Adding users is completely free and unlimited — billing is based on check usage (the number of identity or KYB checks you run), not the number of team members.
Invitation links expire after 72 hours; if one lapses, simply send a new invitation.
At audit time, you can add your auditor as a team member so they can review what they need directly in Workflow.
