Who owns my data in Workflow?

You own your data. APLYiD holds it for storage purposes but has no rights to use, sell, market to, or share it. Your client records exist in Workflow solely to help you meet your record-keeping obligations under the AML/CTF Act.

What APLYiD can and cannot do with your data

APLYiD can:
- Store your data securely on your behalf
- Make your data accessible to you and your authorised users
- Retain your data for as long as you remain a customer (and for a defined period after)

APLYiD cannot:
- Sell your client data to third parties
- Use your data for marketing or profiling purposes
- Share your data with other businesses on the platform
- Access your data except for support purposes where you have explicitly requested assistance

Your client data is siloed

Client records in Workflow are strictly per-account. No other business using APLYiD β€” regardless of whether they operate in the same industry, the same location, or the same transaction β€” can see your client data.

For example:
- A settlement agent using APLYiD Workflow cannot see the vendor or buyer records you created, even if they are working on the same property transaction
- A conveyancer in your suburb cannot see your client list
- You cannot see theirs

This is intentional. Each business is independently responsible for its own AML obligations and must hold its own verification records. Data isolation protects both you and your clients.

Where is my data stored?

APLYiD stores data in Australia, in line with Australian data sovereignty requirements. Client data does not leave Australia for storage purposes.

What happens to my data if I leave APLYiD?

If you close your APLYiD account:

  • Your data remains accessible for a defined retention period β€” APLYiD will notify you of the specific timeframe when you initiate account closure

  • You can export your case data and verification records before closing your account

  • After the retention period expires, your data is permanently deleted from APLYiD's systems

Because the AML/CTF Act requires you to retain records for 7 years from when the business relationship ends, you should export and store your records locally or in another compliant system before closing your account. Do not assume APLYiD will retain your records indefinitely after closure.
